Digital Scribing

Enhanced notetaking at our clinic

As part of our commitment to improving our services, we have implemented a digital scribing software for notetaking during your consultations. At ConnectEd, we are dedicated to utilising technology responsibly to enhance your experience, while prioritising your privacy and security.

Digital scribing

The digital scribing system uses artificial intelligence (AI) to record the audio of your consultation and then to generate an initial draft summary of your consultation with your psychologist. This draft summary serves as a helpful tool for your psychologist to create a clinical note or document related to the appointment, which is then stored in your official client record. Once stored in your official record, all content from the digital scribing system is then permanently deleted.

Benefits for You

Your psychologist gets to focus more on you.

Your psychologist can concentrate fully on you without the need for manual notetaking. This allows for a more focused and engaged experience, ensuring that your needs remain the primary focus throughout the appointment.

Increased efficiency

This approach to note-taking saves time, enabling your psychologist to complete a core administrative task of ensuring a record of your consultation is generated and stored in your client record. This efficiency enhances the overall effectiveness of our appointments and supports the work that you and your psychologist are doing together.

Privacy and Security:

Ensuring your privacy and security is a top priority at our clinic. The digital scribing software we are using is called PatientNotes (https://www.patientnotes.app/). The following information is based on the security guidelines outlined by PatientNotes

Compliance and Security:

PatientNotes is fully compliant with Australian Privacy Principles (these are the Federal requirements which outline how personal and health information is required to be handled), as well as international standards such as HIPAA (America) and DGPR (Europe). To prevent unauthorised access, all data within the system are encrypted at a high level, consistent with systems that process health data. The security protocols provided by PatientNotes mean sensitive information remains confidential and inaccessible to anyone without proper authorisation.

Retention of information

All information stored in PatientNotes, including recordings and draft summary, are permanently and automatically deleted, at a maximum, every 30 days (or sooner) from this platform. Once deleted from PatientNotes, this information is not accessible or retrievable by your psychologist or yourself.

Your psychologist will generate an official record of your consultation and enter this in our health-record management system (PowerDiary) which is where your clinical documentation is stored.

Local Storage:

Your data is stored exclusively within Australia, ensuring compliance with Australian Privacy Principles.

Your data is not used for training.

PatientNotes does not provide information that is used in PatientNotes to artificial intelligence systems for further training (i.e. the system isn’t able to capture and store your information).

Potential risks:

As with any digital system, there is always the risk of a data breach. As outlined, PatientNotes have significant structures in place to protect your data. As part of our internal processes, we will manage this risk by deleting content from each consultation within as short a time frame as possible, which limits the impact in the very unlikely event of unauthorised access.

Our psychologists also undertake supervision and professional development relating to their professional practice and to ensure they are meeting the ethical requirements to practice as a psychologist.

Consent

You are free to withdraw consent for use of this system at any point – at the start of the consultation, during the consultation or after the conclusion of the consultation. At this point, your psychologist will delete all data retained on PatientNotes relating to you/your consultation
